Sub-processors
Version 1.0 — last updated 15 April 2026.
Document Works uses a limited set of sub-processors to deliver the service. This page contains the current list. We keep this list public so that you are informed of any changes.
Current sub-processors
| Sub-processor | Location | Purpose | Type of data |
|---|---|---|---|
| Hetzner Online GmbH | Germany (Falkenstein, Nuremberg) — optionally Finland (Helsinki) | Hosting of all servers, storage and back-up infrastructure | All personal data processed by Document Works (encrypted at rest) |
| Mistral AI SAS | France (Paris) | AI text, image generation and speech recognition (Voxtral) at user request | Content of AI prompts and the resulting output; voice recordings uploaded by the user for transcription |
All sub-processors are established within the European Economic Area (EEA). No transfer of personal data takes place to countries outside the EEA.
Commitments under GDPR art. 28
For each of the above sub-processors:
- A written data processing agreement (DPA) has been concluded, with the safeguards prescribed by GDPR art. 28(3).
- The sub-processor is only permitted to process personal data based on our written instructions.
- For Mistral AI we have chosen the Scale Plan with Zero Data Retention (ZDR), so that submitted prompts and output are not retained by Mistral or used for model training.
Changes
We will update this list at least 30 days in advance of any addition or replacement of a sub-processor and inform existing business customers by email or by an announcement in the application. You then have the right to object in writing to the change via privacy@document.works. If we do not reach a resolution, you have the right to terminate your agreement.
Own components on our infrastructure
For completeness: components for user authentication, data storage, email, file storage, document editing, video calls, search and caching run on our own servers at Hetzner to deliver the Service. These components are not separate sub-processors and remain under our technical and organisational control at Hetzner.
